The Department of Sports, Government of Meghalaya ("we", "our", or "us") values the trust you place in us when using the Unified Sports Portal (khelomeg.in) and related digital services, including the KheloMeg mobile application. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you interact with our digital services. We are committed to maintaining high standards of data protection and transparency in line with applicable laws and best practices.

This Privacy Policy applies to all users of the Unified Sports Portal and KheloMeg mobile application, including but not limited to athletes, coaches, government officials, volunteers, institutions, federations, Mangal Dals, staff, supervisors, venue managers, and general users who access any service provided through these platforms. It governs the data collection, storage, usage, and sharing practices of the Department while delivering a secure and efficient user experience.

As a general rule, the website and public sections of the app do not collect personal information when you browse informational content. You may generally access public sections without revealing personal information unless you choose to provide it or use login-based services.

Information We Collect

We may collect the following categories of information, directly or indirectly:

  • Name, date of birth, gender, photograph
  • Contact details: phone number, email address, postal address
  • Educational or employment status (for scheme eligibility or administration)
  • Identity numbers (where required): Aadhaar, PAN, Voter ID, etc.

  • Feedback, suggestions, or complaints shared through any medium

By registering on the portal, using login-based services, or accessing authorized services, you consent to our collection and use of your personal data as per this policy. Consent for optional fields (such as Aadhaar or bank account details) is explicitly collected where applicable. You may withdraw consent for specific uses by writing to the contact provided in this policy; however, this may affect access to certain services.

Attendance Management

The MEG Workforce mobile application may include attendance functionality for authorized individuals for official administrative and operational purposes.

App Permissions

For taking attendance of authorized individuals, the App requires certain device permissions, including camera, location, microphone, and notifications, solely for official and operational use.

All permissions are requested only when necessary for the functioning of the app or portal services.

Location Access

The App may access device location at the time of attendance marking to verify that the user is within the designated geo-fenced area. The App does not use location for continuous background tracking unless explicitly stated for a specific feature.

Camera Access

The App may use the device camera for facial verification during attendance check-in and check-out, and for QR code scanning where such functionality is enabled.

Microphone Access

The App may request microphone access only if needed for specific app features. The microphone is not used for continuous or background recording.

Notifications

The App may send notifications related to attendance status, shift information, administrative alerts, announcements, and other official communications.

User Consent and Control

By participating in our programs or registering for services, you consent to the collection and use of your data as outlined here. You may:

  • Access or review your submitted information
  • Request corrections to inaccuracies
  • Withdraw consent for non-mandatory data fields
  • Request deletion of data, where permitted by law and retention policies

Withdrawal of consent may affect access to certain schemes or services.

Data Sharing and Disclosure

We do not sell or commercially share your personal data. However, we may disclose it:
